This Privacy Policy explains how PayStubNest.com ("we", "us") collects, uses and protects personal information when you use PayStubNest at https://www.paystubnest.com.
1. Information we collect
- Account information: name, email address, optional company name, password (stored only as a one-way hash), two-factor settings.
- Payroll information you enter: employer and employee names and addresses, the last four digits of identification numbers, pay rates, hours, earnings, deductions, withholding elections and year-to-date figures, and any logo you upload.
- Billing information: invoices, purchased plans and credits, and a payment token with card brand and last four digits. Full card numbers are handled by our payment processors and never reach our servers.
- Compliance records: your acceptance of our legal documents and your confirmations that pay stub information is accurate, with the date and time, IP address and browser.
- Technical information: IP address, browser, session and security logs.
2. How we use it
- to provide the Service: calculate pay stubs, render and store documents, run pay schedules;
- to process payments, send receipts and account emails;
- to secure the Service, prevent fraud and enforce our Terms and Acceptable Use Policy;
- to comply with legal obligations.
We do not sell personal information and we do not share it for cross-context behavioural advertising.
3. Who we share it with
Only with service providers that help us run the Service, under contracts that limit their use of the data: the payroll calculation engine (which receives pay inputs and does not store them), payment processors, email delivery, and hosting providers. We may also disclose information when required by law or to investigate misuse, as described in our Terms.
4. Analytics and cookies
We measure how visitors use our website with our own analytics, run on our own servers. We record the pages you view, how you arrived (for example a search engine or a link with campaign tags), your approximate location (country, region and city, derived from your IP address, which we do not store), and your device, browser and language. To recognise returning visitors we set one first-party cookie (psn_vid, up to 13 months); visitors in the EU, EEA, UK and Switzerland are asked first, and browsers that send Global Privacy Control or Do Not Track never receive it. We also use strictly necessary cookies to keep you signed in and to protect forms against cross-site request forgery. The analytics data is used only to improve our website and marketing, is never sold or shared with advertisers, and is deleted after 24 months. You can change your cookie choice at any time via "Cookie preferences" in the footer.
5. Retention
We keep account and payroll data while your account is open. Invoices, payment records and compliance records are kept for as long as the law requires or as needed to handle disputes and prevent fraud, even after an account is closed or anonymized.
6. Security
We use encryption in transit, encrypted secrets at rest, hashed passwords, optional two-factor authentication, session controls and audit logging. No system is perfectly secure; please use a strong unique password.
7. Your rights
Depending on where you live (including California under the CCPA/CPRA) you may have the right to know what personal information we hold, to get a copy, to correct it, to delete it, and not to be discriminated against for exercising these rights. To make a request, email support@paystubnest.com from the address on your account. We acknowledge requests within 10 business days and answer within 45 days, and may need to verify your identity. Some records (billing and compliance records) may be kept where the law allows.
8. Children
The Service is not directed to anyone under 18 and we do not knowingly collect their information.
9. Changes
We may update this policy. Each published change gets a new version number and date.
